Position Title:            Part-Time Receptionist
Department:              Member Services                                                                                
Reports To:                 Vice President, Member Services

Summary

This position is responsible to receive incoming phone calls and direct calls to the appropriate departments or representatives; greet persons entering the AAA Reading-Berks lobby and reception area and direct guests to the appropriate departments or representatives; and perform routine clerical tasks, as may be required, all in accordance with current AAA Reading-Berks policies, procedures, and standards.  This position will interface with members, non-members, associate employees, vendors, visitors, and the public.

  • High school diploma or the equivalent of an appropriate combination of education and work experience with verbal and numerical skills to read, write, and orally communicate with English as the essential language.
  • Characteristics of being alert to details with frequent interruptions; and conscientious to perform quality services.
  • Interpersonal skills needed to interact with all persons entering or calling AAA Reading-Berks.
  • Memory skills to recall names, numbers, and events.
  • Motor skills enabling infrequent twisting, bending, reaching, stooping, and walking.
  • Ability to be sitting in one location at least 90% of the time.
  • Available to work additional hours and weekends.

 

Essential Duties

The incumbent will receive work assignments from among the following tasks and perform each as may be required in accordance with prescribed schedules, established operating procedures, and standards of performance:

 

  • Operate switchboard; including, but not limited to, opening and closing the switchboard at appropriate times, retrieving and distributing voice mail messages and monitoring call volume.
  • Respond to and direct incoming phone calls using the appropriate greeting, according to prescribed AAA Reading-Berks procedures.
  • Greet, screen, and direct walk-in customers to the appropriate department or staff member, using the appropriate greeting, according to the prescribed AAA Reading-Berks procedures.
  • Maintain flow of customers in sit-down area – consists of, but not limited, assisting customers with sign-in, notifying consultants when customer signs in for both specific and non-specific consultant.
  • Supply general information to incoming phone calls and persons entering AAA Reading-Berks; i.e. hours of operation, special event dates, etc.
  • Prepare routine correspondence, mailing lists, and business documents using PC, and perform other clerical functions.
  • Perform other clerical activities, i.e. labeling of brochures and preparing FedEx and UPS labels/packages.
  • Perform any other duties as may be requested by Management Staff.

The job is satisfactory when:

  • Telephone communication is consistently courteous, telephone callers receive prompt responses, and messages are promptly and accurately delivered.
  • Personal interactions with persons entering AAA Reading-Berks office facilities are consistently courteous and receive prompt responses and accurate information is conveyed.
  • Frequency of reasonable complaints from inter-organization departments, visitors, members or others using the services of the receptionist are minimum.
  • Personal interactions with persons availing themselves of the receptionist services are consistently courteous and meet AAA Reading-Berks expected standards of performance.
  • Documents, correspondence, filing and all other clerical functions are prepared neatly, accurately, and completed on schedule according to prescribed procedures.
